ROLE of the POSITION
The Associate IT Project Manager - Portfolio Coordinator supports technical teams and project managers in utilizing UNLV IT project management processes and systems. This position is responsible for overseeing administration of the project portfolio management system development, including developing templates, creating workflows, and designing dashboards. This position relies on a broad knowledge of project management processes including agile and waterfall techniques to assist project managers and teams in utilizing the system. The system supports a wide-range of projects from both the Office of Information Technology (OIT) and distributed groups. Therefore, the person in this position must manage multiple customer expectations by employing clear communication and problem-solving skills.
The Portfolio Coordinator has the responsibility for coordinating project information for all projects, ensuring project documentation accurately reflects the scope, schedule, costs, resource requirements, and current status of projects as expected for the specific type of project. Working with the IT Associate Director of Strategic Planning and Communication, the Portfolio Coordinator assists technical managers in implementing approved project processes on all projects. This position contributes to the continuous improvement of IT service delivery by standardizing project management processes and integrating them with other UNLV efficiency efforts.
In addition to administration and development responsibilities, the Associate IT Project Manager - Portfolio Coordinator is responsible for improving the usability of the portfolio system. The incumbent coordinates system changes with staff responsible for the ticketing system and external stakeholders. The individual establishes procedures for upgrading, patching, and regularly evaluating any issues identified. The incumbent must employ critical prioritization, effective time-management, and project management skills to effectively balance competing responsibilities, including maintenance and operational tasks (troubleshooting issues or incidents), new development, project manager training, and strategy for the unit.

MINIMUM QUALIFICATIONS
This position requires a bachelor’s degree from a regionally accredited college and a minimum of three (3) years of project management experience with two (2) years of experience managing a project portfolio system. Credentials must be obtained prior to the start of employment.
Experience in a higher education environment and three (3) years of experience developing workflows, forms, dashboards in TeamDynamix project portfolio is preferred.
The incumbent must have specific skill and knowledge in the following areas:
KNOWLEDGE
Required
- Experience managing enterprise technology projects from inception to completion
- Demonstrated experience with completing project documentation, including schedules using TeamDynamix or similar scheduling software, requirements documentation, and financial tracking
- Experience reporting on IT security and data confidentiality projects
- Ability to inspire and mentor project leads to successfully utilize formal project management techniques
- Knowledge of the project communication requirements of a large organization that values transparency
Preferred
- Experience developing and managing project portfolio management within TeamDynamix
SKILLS
Required
- Ability to develop project templates, dashboards, and reports in a Portfolio Project Management (PPM) system based on organizational requirements
- Ability to apply appropriate project management processes based on the size, complexity, and risk of a project
- Experience administering, troubleshooting, and documenting a project portfolio system
- Experience managing teams of five or more people, composed of technical and non-technical resources, external vendors, and external stakeholders
- Strong quantitative skills, excellent written, and verbal communication skills including the ability to synthesize large volumes of information to create succinct narrative reports for senior management

SALARY RANGE
Salary competitive with those at similarly situated institutions. The position is contingent upon funding with a minimum starting salary of $70,300.
